HR Administration Assistant

Job Introduction

ALE is seeking a HR Administration Assistant for our Jakarta office supporting all HR activity that are being run from there.  This is an exciting role that is best suited to an experienced HR Administration candidates with a HR and Administration background.  As an ALE HR Administration Assistant, you will be responsible for the administration task in HR Department.  The role is integral to the successful delivery of HR Admin task and will see you closely interact with the various departments to obtain information for all Department. 

Role Responsibility

  • Maintain employee records (soft and hard copies), by entering and updating employee information into company databases,
  • Responsible for attendance checking, checking of time-sheets for overtime claims, updating of information online, etc
  • Update HR databases (e.g. new hires, separations, vacation and sick leaves)
  • Provide both HR-specific and general administrative and secretarial support in HR Department
  • Answer department telephones, relay messages, and distribute information to employees.
  • provide direct support to HR team by scheduling meetings and appointments, making travel arrangements, and processing expense reports.
  • Responsible for the stationery of HR Department, and consolidate department’s stationery order to Admin Department on a monthly basis
  • Responsible for editing documents and presentations
  • Prepare paperwork for HR policies and procedures, create forms, templates, and other HR-related documents.
  • Process employees’ requests and provide relevant information
  • Assist HR Manager with specified projects, such as planning company events, meetings and training  / seminars
  • Responsible for all training request for all department.
  • Posting job openings, reviewing resumes, calling candidates, and scheduling interviews.
  • Prepare reports and presentations for internal communications
  • Provide orientations (induction) for new employees by sharing onboarding packages and explaining company policies
  •  Assist in payroll preparation by providing relevant data, like absences, overtime and leaves.
  • Responsible for foreign employees’ matters such as working permit application, renewal of working permit, outsourcing, etc.
  • Responsible for all internship matters
  • Registering BPJS Tenaga Kerja (Social Security) and BPJS Kesehatan (Healthcare Security) for all employees to BPJS office
  • Registering new employee to Company Health Insurance and taking care of employee claim for medical insurance

The Ideal Candidate




  • A degree or similar qualification in Business Administration or similar. 



  • At least 1-2 years in previous business admin role in an international business. 
  • Experience in dealing with blue and white collar workforce
  • Experience of financial and/or HR administration.


  • A background within a multinational company. 



  • Excellent standards of written work

  • Experienced in travel co-ordination
