Management Assistant (Bilingual)

Role Responsibility

  • Assist the General Manager with day-to-day administration activities
  • Translation (both written and spoken) from English to Mandarin and vice versa
  • Liaise with senior management personnel at our Joint Venture and other international companies
  • Assist with writing professional proposal documents in English
  • Oversight of ALE’s key information systems - Microsoft Dynamics CRM and ALE’s enterprise resource planning system
  • Act as local ‘brand ambassador’, liaising with global marketing and PR team to help maintain ALE brand awareness and compliance within Taiwan
  • Taking minutes of meetings, filing and general office organisation
  • Screen phone calls and take messages in a professional and efficient manner
  • Coordinating and booking travel for clients and ALE employees as required - making sure that their accommodation, transport and other needs are met.
  • Raise purchase orders for the goods and services that you are responsible for purchasing directly, ensuring that costs are monitored and controlled in all cases

The Ideal Candidate



  • None


  • Period of study overseas, e.g. gap year or similar
  • Executive Secretarial Diploma / Office administration Diploma or similar



  • Business administration


  • Basic understanding of the service/construction/transport industries
  • Familiarity with service-delivery project life cycle



  • 2 years in office administration or similar roles
  • Previous experience working abroad and/or with a diverse range of international companies, EPCs etc


  • 5 years’ experience in a similar role
  • Previous work in the heavy lifting and transport, construction, petrochemical or related industry
  • Contract and commercial administration



  • Fluent in English and Mandarin (both verbal and written)
  • Confident in use of business systems
  • Advanced level Microsoft Word, Excel and Outlook, able to produce high quality documents and files
  • Excellent trouble shooting and multitasking skills
  • Possess leadership and management skills


  • Competent use of other software, such as Skype, IFS, PowerPoint and Microsoft Dynamics Customer Relationship Management or similar
