Project Assistant

Job Introduction

You will be giving support to the Projects Department. This department is the operational heart of the organization from which projects will be managed all over the world.

Proactive and flexible with a can-do attitude, you will be a highly efficient individual, with a strong desire to correctly implement business support methods and practices, and to improve them where possible, whilst maintaining compliance and consistency with ALE’s global brand.

Your ability to manage many different tasks at the same time, plus your ability to prioritize will be regularly challenged.

You will take pride in your work whether it involves answering phone calls, troubleshooting problematic areas of office life, or solving mobilization issues for our project crew.

Your superb communication skills will enable you to enhance working life for those around you and always remain focused on the overall goal of helping the business be the best it can be.

Very much a ‘people person’, your emotional intelligence enables you to remain diplomatic but firm, see the problem from other points of view, and help to solve problems logically and fairly.

A high level of technological savvy and fluency with business software and systems means that you can work efficiently and get the most out of the tools provided for your role.


Role Responsibility

  • Provide support and assistance to project managers with day-to-day (administration)        activities
  • Taking minutes of department meetings / project meetings
  • Screen phone calls and take messages in a professional and efficient manner (2nd line)
  • Dealing with general office duties
  • Other general administrative duties reasonably associated with the role
  • Creating purchase orders, ensuring costs are monitored and controlled
  • Maintain procedures/office administrative systems
  • Be proficient with a variety of software packages including Microsoft office products and GMS (Global Management System – ‘IFS’)
  • Keep records of communication equipment (e.g. phones) including contracts, issue register
  • ​Arrange travel arrangements for all team members including:
    o    Flight tickets
    o    VISA arrangements
    o    Crew bookings 
    o    Hotel Bookings

The Ideal Candidate



  • Intermediate vocational education (MBO)


  • Bachelor’s degree (HBO)



  • Native Dutch Speaking
  • Familiarity with service-delivery project life cycle
  • Good oral and written English skills



  • 5+ years in office administration or similar roles


  • Experience within heavy lifting and transport industry



  • Excellent troubleshooting and multitasking skills
  • Very good knowledge in various MS Office applications such as Excel, Power point, Outlook and Word.
  • Able to stay calm under pressure
  • Proven organizational skills


  • Knowledge of ERP software (GMS – IFS)
  • Experience with solving simple ICT issues

  • Smiling disposition
  • Flexible attitude



  • Current and valid driver’s license
