Shipping and logistics Coordinator

Job Introduction

As Shipping and Logistics Coordinator, you will be responsible for arranging mobilisation of ALE equipment and consumables from the smallest shackle to the biggest crane in the world, using any mode of transport from rail to a chartered Antonov. ALE delivers innovative project solutions across the entire globe making this role possibly one of the most exciting and varied in the logistics industry. Role Responsibility

  • International Shipping of the equipment
  • Fixing full and part charters on various trade routes
  • Optimize logistic processes and systems on a strategic level
  • Arranging cross trade, import and export FCLs and LCLs both in gauge and out of gauge, specialist equipment included
  • Arranging cross trade, import and export of break bulk cargoes and project cargoes
  • Scheduling project mobilisation plans, both equipment & personnel, of more than one origin
  • Inform operational/yard personnel about transport planning and loading instructions
  • Ensuring project schedules are met whilst reacting to constantly changing project parameters
  • Maintaining the logistic budget and planning for our projects
  • Analyse shipping requests and provide most cost effective / project suitable solutions
  • Reviewing, researching and managing customs imports and exports in numerous countries – both temporary and permanent
  • Understanding, reviewing and negotiating basic contractual terms and conditions, insurance requirements and ensuring all cargo is properly insured during transport
  • Producing documentation for International Trade as per legal requirements
  • Communicating with local Chamber of Commerce for official documentation
  • Keeping fully updated with changes in the Maritime Industries and undertaking all activities within statutory procedural requirements
  • Coordinating transport and loading sequences for charter vessels
  • Reviewing and approving/rejecting stowage plans on charter vessels
  • Minimising shipping costs and risks, working within budgets and being fully aware of job profitability
  • Ensure all shipper owned containers shipped are certified and identified correctly
  • Raise purchase orders as per company procurement procedure
  • Establish and maintain supplier relationships
  • Obtaining thorough and accurate shipping & visa prices for bids & tenders including consideration of market changes in time of the project
  • Arranging full, part & abnormal loads throughout Spain, into Europe and in other countries to provide door-door shipping solutions
  • Researching and gathering information on travel visa requirements including speaking to lawyers and other visa organisations when required, then gathering personal information to apply for visas and putting together application packages
  • Give support to sales team with: transport quotations, transit times and import/export cost etc.
  • Managing company vehicles, plan maintenance, mot, permits, mileage registration etc.
  • Report on a regular basis to Project Managers about project related issues
  • Report on a regular basis to the Operations Manager
  • Pro-active approach toward upcoming demands and identifying of possible bottlenecks in an early stage
  • Support operational team with daily tasks
  • Contribute to a co-operative working environment within the company

The Ideal Candidate

QUALIFICATIONS

DESIRABLE

  • Further education in business related discipline
  • Nationally/Internationally recognised qualification for chartering and freight forwarding from either the Institute of Chartered Shipbrokers (ICS) or national Freight Associations
  • Hazardous Goods Training such as Dangerous Goods Safety Advisor under CDG
  • Export / Import Licence qualification

KNOWLEDGE  

ESSENTIAL

  • Good working knowledge of the diverse array of shipping and transportation methods available

DESIRABLE

  • Knowledge and understanding of Maritime Charter Parties
  • Knowledge of how to fix charter shipments
  • Knowledge of the heavy lifting and transport industry

EXPERIENCE

ESSENTIAL

  • 5-10 years’ experience in an international logistic company
  • Experience in a complex and sometimes busy planning/scheduling environment
  • Experience with contract negotiation

DESIRABLE

  • 10 years’ experience in an international logistic company
  • Experience within a freight forwarding agency
  • More than 2 years’ experience working abroad

SKILLS & ABILITIES

ESSENTIAL

  • Fluent Spanish
  • English fluent written and spoken
  • Ability to prioritise work schedule and project commitments
  • Assertiveness with people at all levels in the business
  • Able to Communicate effectively across different cultures

DESIRABLE

  • Other Language abilities: French / Arabic
